Privacy Policy

How we collect, use and protect your personal information under the Privacy Act 1988.

Shipping Solutions PTY respects your privacy. This policy explains how we collect, hold, use and disclose personal information, and how you can access, correct or complain about the information we hold. It applies to shippingsolutionspty.com and to all of our sales, delivery and support activities.

Our obligations

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles (APPs) set out in Schedule 1 to that Act. The APPs govern how personal information may be collected, used, disclosed, stored, accessed and corrected, including the open and transparent management of personal information, the option of anonymity, direct marketing, cross-border disclosure, data quality and data security.

What personal information we collect

We only collect information that is reasonably necessary for our business of selling and delivering shipping containers and related products. Depending on how you deal with us, that may include:

  • Identity and contact details — your name, business or trading name, email address, phone number, postal address and delivery address.
  • Order information — the products you quote on or buy, order and invoice numbers, delivery instructions, site access notes, and correspondence about your order.
  • Business information — your ABN, ACN, position and purchase order references where you buy as a business.
  • Payment information — the bank remittance details needed to reconcile a direct bank transfer, and the account you nominate for any refund. We do not store full card numbers.
  • Site information — photographs, sketches, addresses and access notes you send us so we can assess a delivery site.
  • Technical information — IP address, browser and device type, pages viewed, referring page and session activity on our website.

You can deal with us anonymously or under a pseudonym for general enquiries. We cannot process an order, quote a delivery or issue a tax invoice without your identifying details.

How we collect it

We collect personal information directly from you wherever practicable — when you place an order, request a quote, fill in a form on our website, email sales@shippingsolutionspty.com, call 1300 000 000, visit a depot, or correspond with us about a delivery or a return.

We may also collect information from third parties, such as a transport operator confirming a delivery outcome, a bank confirming a payment, or a person who arranges a delivery on your behalf. If we receive information about you that we did not ask for and did not need, we will destroy or de-identify it where the law allows.

How we use it

We use personal information to:

  • prepare quotes and confirm pricing and availability;
  • process orders, take payment and issue tax invoices;
  • arrange transport, assess site access and complete delivery;
  • handle warranty claims, returns, refunds and transit damage claims;
  • answer enquiries and provide after-sales support;
  • keep accounting, tax and business records required by law;
  • improve our website, product range and service;
  • send service messages about an order you have placed.

We may send you marketing about our products where you have consented or would reasonably expect it. Every marketing email includes an unsubscribe link, and you can opt out at any time by emailing us. We do not sell or rent personal information to anyone.

Who we disclose it to

We disclose personal information only where it is necessary for the purpose it was collected, or where the law requires it. Recipients may include:

  • Transport and logistics partners — tilt-tray, side-loader and crane operators, depot operators and freight forwarders receive your name, delivery address, phone number and access instructions so they can complete the delivery.
  • Payment and banking providers — our bank and payment reconciliation providers process the direct bank transfer and any refund.
  • Service providers — website hosting, email, customer support, accounting and analytics providers, bound to protect the information and to use it only for the services they provide to us.
  • Professional advisers — accountants, auditors, insurers and lawyers, where relevant.
  • Government and regulators — where disclosure is required or authorised by law, for example to the Australian Taxation Office.

Cookies and analytics

Our website uses cookies and similar technologies. Essential cookies keep your session and shopping cart working. Analytics cookies help us understand which pages are visited, which products are viewed and where visitors have trouble, so we can improve the site.

Analytics data is generally aggregated and does not identify you personally, although an IP address may be personal information in some circumstances. You can block or delete cookies through your browser settings; if you do, parts of the site — including checkout — may not work correctly.

Data security

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. Those steps include encrypted connections to our website, access controls and password protection on our systems, restricting staff access to what each role needs, secure storage of paper records, and agreements with our service providers.

No method of transmission or storage is completely secure. If we suffer a data breach that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.

We keep personal information only as long as we need it, or as long as tax, accounting and other laws require. Records connected with a sale are generally kept for at least five years. After that we destroy or de-identify the information.

Overseas disclosure

Some of our service providers — for example website hosting, email and analytics providers — may store or process data on servers located outside Australia, including in the United States, the European Union, Singapore and New Zealand. Before disclosing personal information overseas we take reasonable steps to ensure the recipient handles it in a way consistent with the Australian Privacy Principles, including through contractual protections.

Our own sales, delivery and accounting operations are run in Australia.

Accessing and correcting your information

You may ask us for access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. Email sales@shippingsolutionspty.com with enough detail for us to identify you and locate the records.

We will respond within 30 days. Access is normally free, although we may charge a reasonable fee for a request that takes substantial time to fulfil. If we refuse access or a correction, we will tell you in writing why, and how to complain.

Complaints

If you believe we have breached the Privacy Act or an Australian Privacy Principle, please tell us first so we can put it right. Send your complaint to sales@shippingsolutionspty.com marked “Privacy Complaint”, or write to us at Unit 4, 22 Kellaway Place, Wetherill Park NSW 2164.

We will acknowledge your complaint within 5 business days and give you a written response within 30 days, explaining our findings and any action taken.

If you are not satisfied with our response, you may escalate the matter to the Office of the Australian Information Commissioner (OAIC), which can investigate privacy complaints. Contact details and the online complaint form are available on the OAIC website.

Changes to this policy

We may update this policy as our practices or the law change. The current version is always the one published on this page.
